Material entering the machine
Name the fluid, viscosity at the actual operating temperature, solids size and concentration, abrasiveness, and whether shear or CIP chemicals will change the fluid before the pump sees it.
Required output
State flow in m³/h (or gpm) together with the test temperature and differential pressure in bar, plus NPSH available at the suction flange—not a nameplate speed alone.
Duty cycle
Say whether the pump runs continuously, in batches, or through CIP/SIP, and which party designs relief or bypass if the discharge can be blocked.

Replacement versus new installation

A replacement RFQ must capture the existing suction and discharge nozzles, baseplate, motor frame and relief path so a new casing does not force unquoted piping. A new installation RFQ must list skid, drive, instruments and pressure protection that a bare pump price will not include.

Existing process

If the current unit is a gear, lobe or progressive-cavity pump, record the actual flow, temperature and pressure at which it still meets process, not the original brochure. Note seal leakage, slip at high viscosity, or solids that scored rotors. Those facts decide whether a like-for-like rotary geometry is even a comparable quote.

Replacement is comparable only when nozzle spacing, rotation, seal type and blocked-discharge protection stay in the same battery limit as the unit being removed.

  • Drawing or process description

    A P&ID snippet or written transfer duty is enough to start. Identify upstream tank, strainer and downstream header so suppliers do not assume an open discharge. If a hygienic rotary lobe is requested, say which cleaning documents apply to the exact configuration, not to a published family page.

  • Operating conditions

    Viscosity at temperature, solids, shear limits, flow range, differential pressure, suction condition, electrical supply (voltage, phase, frequency) and connected load once the supplier sizes the motor. FAT and SAT criteria belong in the same brief if they will decide acceptance.

Which procurement scope is covered by a positive displacement pump?

Existing process

Scope is the pump and the items needed to move the stated fluid at the stated duty: casing, rotors or lobes, seals, drive and, if requested, baseplate instruments. Piping design, relief-valve set pressure and control interlocks remain with the party named in the quote, usually the buyer’s engineer or the skid builder.

Supplier responsibility stops at the quoted battery limit. Buyer responsibility includes fluid data, quantity, destination and site interfaces.

Who confirms feasibility versus who accepts the installation?
